Booking Page

Online Scheduling Tool

Also called: Scheduling software, appointment scheduling software, booking software, scheduling app

Software that automates the process of booking meetings by connecting a host's calendar to a shareable booking page. Instead of back-and-forth emails to find a time, bookers visit the page, see real-time availability, and confirm a meeting in a few clicks. Modern scheduling tools also handle reminders, payments, and integrations with CRMs and video conferencing platforms.

Booking Page

The public-facing scheduling page where bookers select a time and complete a form to schedule time with you.

Booking Link

Also called: Scheduling link, booking page link

The URL that takes someone to your booking page. In YCBM, your booking link is customizable (for example, yourname.youcanbook.me) and can be shared in your email signature, on your website, via QR code, or anywhere online.

Duration

The length of each meeting slot shown on your booking page. If you offer multiple appointment types, you can set a specific duration for each, such as a 15-minute intro call and a 60-minute consultation Alternatively, you can configure your booking page to let bookers choose their own meeting duration within suggested time spans.

Appointment Type

Also called: Event types, meeting types

A feature that allows users to offer various bookable services or meeting formats on one booking page. Each appointment type can have its own name, duration, price, description, and availability.

Add-on Service

An appointment type created with the goal of increasing cost-per booking without adding additional time. Add-on services can be selected alongside a primary appointment type. It lets you offer paid extras, like a physical item, follow-up report, or custom plan, that add value without adding time to the meeting.

Location

Where a booked meeting takes place. In YCBM, location can be a video conferencing link (Zoom, Google Meet, Microsoft Teams), a physical address, a phone number, or a custom location chosen by the booker when they book. You can also set up a hybrid option so that bookers can choose between virtual or in-person for the same available time slots.

Booking Reference

A unique identifier assigned to each booking that can be used to locate or manage a specific appointment. The booking reference (formatted as XXXX-XXXX-XXXX) is included in each calendar event by default.

Calendar Event

The scheduled event YCBM automatically creates in your linked calendar and sends to your bookers when a meeting is confirmed. The event title, description, and location are all customizable using shorthand codes, so each calendar entry can include the booker's name, their answers, and a video link.

Conflicting Event

An event on your linked calendar that marks a time slot as busy, automatically removing it from your booking page availability so it can't be booked.

Booking Page Footer

Additional content added below the booking calendar on your booking page. Use it to add an image, a link to your website, contact details, terms and conditions, FAQs, or any other information you want bookers to see before they schedule with you.

Booking Page Language

The language your booking page is displayed in, including date and time formatting. YCBM supports 44+ languages and can automatically detect a booker's language from their browser settings.

Scheduling Concepts

Booker

The person who visits your booking page and schedules an appointment.

Host

The person whose calendar YCBM checks for availability and to whom bookings are assigned. You can add multiple co-hosts for a meeting, in which case YCBM will check availability for the primary host and co-hosts before showing bookable slots.

Co-Host

An additional team member added to a meeting alongside the primary host. Co-hosts receive the same booking notifications and have the event added to their calendar, but the booking is owned and managed by the primary host.

No-show

When a booker fails to attend a confirmed appointment without canceling. In YCBM, you can mark bookings as no-shows, track no-show rates in your analytics dashboard, and send automated no-show follow-up emails.

Double Booking

When two meetings are scheduled at the same time. YCBM prevents double bookings by reading your linked calendar in real time and removing any slot that becomes busy, whether from a YCBM booking or an event added directly to your calendar.

Rescheduling

Moving a confirmed booking to a different time. The host can reschedule meetings via the YCBM dashboard; bookers can reschedule via a link in their confirmation email or directly from the calendar event.

Hybrid Schedule

A booking page that offers both in-person and virtual meeting options. Bookers can choose their preferred format when they book, or the host can set the location per appointment type or day.

Availability

Availability

The windows of time on a booking page during which bookers can schedule a meeting with you. YCBM determines your availability by combining the available hours you've set with a live check of your linked calendar. Any event marked "Busy" is automatically hidden from bookers. Availability also reflects other settings you've configured, such as notice periods, daily booking limits, and fixed start and end dates.

Availability Layout

The visual format in which your available time slots are displayed to bookers. YouCanBookMe offers three layouts:

  • Month view: A calendar grid where bookers click a date to see that day's available slots

  • Day view: A list of available times for a selected day

  • Agenda view: A scrollable list of upcoming available slots across multiple days

Repeating Availability

A fixed weekly schedule set manually in YouCanBookMe, for example, Monday to Friday, 9am–5pm. YCBM applies this pattern every week and automatically blocks any slot where your linked calendar shows a conflicting "Busy" event.

Calendar-Managed Availability

An availability mode where you define open booking slots by creating events directly in your linked calendar, rather than setting hours in YCBM. Only the times you've explicitly marked as available appear for booking. Everything else is hidden.

Calendar Overlay

Also called: Availability overlay

A feature that lets a booker connect their own calendar to your booking page to see which of your available slots also work for them. Mutual free times are highlighted automatically, removing the need to cross-reference calendars manually.

Mutual Availability

The overlap of free time across multiple team members' calendars, used to find times when all required participants are available.

Buffer Time

Also called: Appointment padding

A gap automatically added before or after each booking to prevent back-to-back meetings. YCBM only shows a slot as available if there's enough time for both the meeting and the buffer time.

Minimum Booking Notice

Also called: Minimum notice period

The minimum amount of notice you require for a booking to be made. A 2-hour minimum, for example, hides any slot starting within the next 2 hours, preventing last-minute bookings.

Maximum Booking Notice

Also called: Maximum notice period

The maximum distance into the future that people can make bookings. For example, a 30-day maximum means only the next 30 days of availability are shown, preventing bookings from being made too far in advance.

Fixed Start Date

Set a fixed start date to restrict your availability to begin from a specific date. Useful when a booking page should only go live from a certain point.

This setting is great for events with clear start and end dates, such as:

  • Conferences or trade shows
  • Parent-teacher conferences
  • Retail activations or pop-up events

Fixed End Date

Set a fixed end date to restrict your availability to end at a specific date. Useful for time-limited offers, seasonal services, or intake windows with a hard close date.

Limit Bookings Per Day

A cap on the number of bookings that can be made on any single day. Once the daily limit is reached, no further free slots are shown for that day.

Meeting Request

Also called: Tentative booking, request to book

A YCBM feature that gives the host control over whether a booking is confirmed. The booking appears in the calendar with question marks until the host accepts or rejects it.

Cancellation Minimum Notice

A setting that controls how close to the start of an appointment a booker can cancel or reschedule. If they try to do so outside the notice window, the self-serve option is removed, protecting your time from last-minute changes.

Reason for Cancel or Reschedule

An optional or required field that prompts the booker to explain why they are cancelling or rescheduling.

Team, Group, & Resource Scheduling

Team Booking Page

A booking page that draws availability from multiple team members' calendars. Bookers can either choose who they want to meet with, or bookings are assigned automatically using round robin or priority rules.

User Profile

A team member's personal account settings in YCBM, including their name, contact details, video conferencing preferences, in-person address, and notification setup. Each team member has their own profile, which determines how they appear to bookers and how meetings are handled on their behalf.

Collections

Groups of members organized so the right people can be chosen for the right meeting, for example, a Sales team, an HR team, or a panel of interviewers. When a meeting requires someone from two different collections at once, YCBM only shows time slots where at least one person from each required collection is free.

Participants

Term definition goes here.

Resources

Bookable assets such as meeting rooms, equipment, or vehicles. When a resource is booked, it's blocked from other bookings at the same time, preventing conflicts.

Member Allocation

How incoming bookings are assigned to team members on a team booking page. Options range from letting the booker choose their own member to automatic assignment methods such as round robin, priority order, and random selection.

Round Robin

An automatic assignment method that distributes bookings across team members. Rather than always going to the same person, YCBM rotates who gets assigned based on either availability or workload. YCBM offers two round robin modes:

  • Maximize availability: Bookers see every open time across your team. Booked meetings will be assigned to the team member who's been available the longest.
  • Equal distribution: Bookings are distributed evenly across your team. When multiple members are available at a selected time, the member with the fewest bookings is assigned.

Priority Order

Bookings are assigned to team members in the order you set. The first available person at the top of the list gets the booking. If they're unavailable, it moves to the next person down, and so on.

Random Member

Randomly assigns bookings to whichever team member is available at the selected time.

Booker Decides

A booker sees a list of team members and selects who they want to meet with.

All Members Required

Term definition goes here.

User Roles

Permission levels that control what each person in a YCBM team account can see and do. There are four roles:

  • Account Owner: Full access to all booking pages and data; the only role that can view and manage billing. Each account has one owner.
  • Administrator: Access to everything except billing. Can view all booking pages, create new ones, invite team members, update roles, view team integrations, and assign pages to Editors.
  • Editor: Contributes their calendar and integrations to the team account. Can edit and manage booking pages assigned to them by the Owner or Admin, but cannot create, copy, or delete booking pages.
  • Contributor: Can view their own integrations and bookings, but cannot edit booking pages.

Group Sessions

A booking type that allows multiple bookers to reserve the same time slot, up to a capacity you set (max 50). Great for webinars, classes, or team meetings. Can also be used to manage resources where more than one can be reserved at a time.

Meeting Polls

Also called: Availability polls, group polls

A group scheduling method where you propose several possible meeting times and invite participants to vote on which work for them. Once responses are in, you confirm the time that suits the most people.

Notifications

Notification

Any automated message YCBM sends in response to a booking event: new booking, cancellation, reschedule, reminder, follow-up, or no-show. Notifications can go to the booker, the host, or a team member, by email or SMS, and are configured in the Notifications section of your booking page settings. In YCBM, notifications are fully customizable and can be personalized automatically using shorthand codes.

Shorthand Codes

Also called: Merge tags, variables, dynamic fields

Dynamic placeholders written in curly brackets, like {BOOKER-FIRST-NAME}, {BOOKING-DATE}, or {ZOOM-LINK}, that automatically pull real booking data into your notifications, calendar events, exports, and integrations. You can create your own shorthand codes for custom questions you add to your booking form.

Confirmation Email

An automatic notification sent to both the booker and the host the moment a booking is made. It includes the meeting date, time, duration, location or video link, and any relevant booking form answers.

Reminder Email

A notification sent ahead of a scheduled appointment to reduce no-shows. Every YCBM booking page on a paid plan includes a default reminder one hour before the meeting; you can add more at any interval.

Follow-up Email

A notification sent after an appointment, to share a summary, request a review, or prompt the next step, like rebooking.

Booking Form

Booking Form

Also called: Intake form, pre-booking questionnaire

The questions a booker answers after selecting a time slot, before their booking is confirmed. YCBM collects name and email by default. You can add custom fields to your booking form: text, multiple choice, dropdowns, or checkboxes, to gather anything else you need before the meeting.

Passthrough Question

A booking form field that is pre-populated with data passed in via URL parameters, so the booker never sees or fills it in. Useful for capturing information behind the scenes at the point of booking, like where someone came from or which campaign brought them to your page. The captured data is then available in your exports and integrations.

Hidden Question

Also called: Hidden field

A booking form field that exists in the form but is not visible to the booker. Unlike passthrough questions (which are pre-filled via URL), hidden questions are set to a fixed value by the page owner and are used to tag or categorize bookings consistently, for example labeling bookings by source, region, or product line, and to capture UTM parameters for Google Analytics.

Follow-up Question

Also called: Conditional question, conditional logic

A conditional multiple choice question that shows a second question based on how the booker answered the first. Only bookers who select a specific answer will see the follow-up, keeping the form concise and relevant.

Blocking Question

A multiple choice question where certain answers prevent the booking from proceeding. Used to ensure only bookers who meet your criteria can complete a booking.

CAPTCHA

A security check on your booking form that verifies the person booking is a human, not a bot. YCBM supports CAPTCHA to protect high-traffic pages from spam submissions.

Confirmation Page

The page a booker sees immediately after completing a booking. You can customize the message shown or redirect bookers to any URL, such as your website homepage, once their booking is confirmed.

Cancellation Page

The page a booker sees after canceling a booking. In YCBM, you can customize the message, for example, to offer a rebooking link, share a refund policy, or direct them to a support contact, rather than showing a generic cancellation confirmation.

Account & Access

Booking Page Dashboard

The central management view in YCBM where you can see and manage all your booking pages, view upcoming and past bookings, access analytics, and manage notifications.

One-time Booking Link

Also called: Single-use booking link

A booking link that expires after a single use. Once someone books through it, the link becomes inactive, preventing the same link from being shared or used again.

Password-Protected Booking Page

A booking page that requires a password before a booker can view your availability and make a booking. Used to restrict access to specific clients, cohorts, or internal teams.

Booking Page Template

A pre-configured booking page setup that can be shared across your team. Account Owners and Administrators can create templates for different departments or roles, so new team members get a consistent, ready-to-use booking page without having to set one up from scratch.

Account Health

A dashboard in YCBM that surfaces potential issues with your booking pages and account, such as disconnected calendars, misconfigured notifications, or pages with no availability showing. Designed to help you catch problems before they affect bookers.

Blocking Emails and Domains

A setting that prevents specific email addresses or entire domains from booking on your page. You can block a single address, like person@example.com, or a whole domain, like @example.com. Useful for filtering out competitors, bots, or anyone you don't want to access your booking page.

Booking Page Online/Offline

A toggle that controls whether your booking page is open for bookings. When set to online, bookers can view your availability and make bookings. When set to offline, the page is inaccessible to bookers. You can switch between online and offline directly from your dashboard without deleting the page.

Technical & Integrations

Linked Calendar

The calendar account connected to your YCBM booking page. YCBM reads it in real time to show only genuinely free slots and adds new bookings to it automatically. Supported calendars: Google, Microsoft Outlook, Apple iCloud, and Fastmail.

Calendar Sync

The connection between YCBM and your calendar. Some scheduling tools offer one-way sync only, writing new bookings to your calendar but not reading existing events, which can lead to double bookings. YouCanBookMe uses two-way sync: it both writes new bookings to your calendar and reads your existing events in real time, automatically blocking any slot that becomes busy.

Embed

Adding your booking page directly to your website so visitors can book without leaving. YCBM offers four formats:

  • Inline embed: Booking page loads directly on your website
  • Inline link: A text link that opens the booking page in a popup
  • Inline button: A button that opens the booking page in a popup
  • Floating button: A button fixed to a corner of your webpage that stays visible as visitors scroll, and opens the booking page as a popup

Works with WordPress, Squarespace, Webflow, and any website builders that accept embed codes.

API

YouCanBookMe's programmable interface that allows developers to access and manage booking data, booking pages, and account details. Use it to build custom integrations with your own systems.

Zapier Integration

A no-code integration that connects YCBM to 7,000+ apps, including Google Sheets, ActiveCampaign, Slack, Mailchimp, and WhatsApp. When a booking event happens in YCBM, Zapier can automatically trigger an action in another app, such as updating a CRM record, sending a reminder, or adding a row to a spreadsheet.

Chrome Extension

A browser add-on that gives you instant access to your YCBM booking links, upcoming bookings, and availability from anywhere in Chrome, without switching tabs or opening the YouCanBookMe app. Use it to share booking links in one click, generate one-time booking links, or embed suggested time slots directly into emails.

UTM Tracking

Campaign tracking parameters added to your booking page URL to capture where a booking came from, such as which email, ad, or social post brought someone to your page. YCBM automatically captures this data at booking and includes it in your exports and integrations.
